3. 個人情報の取得と利用目的
当施設は、個人情報を適法かつ公正な手段により取得し、以下の利用目的の範囲内で利用いたします。
- ご予約、宿泊サービス提供のため
予約の確認、施設利用に関する連絡、チェックイン・チェックアウト手続きなど - 旅館業法に基づく宿泊者名簿作成のため
氏名、住所、職業、国籍、旅券番号、パスポートの写しなど - 緊急時における連絡のため
- 当施設のサービス向上、マーケティング活動、およびこれに付随する業務遂行のため
4. 収集する特定個人情報（パスポート情報など）の取扱い
当施設は、日本の法令（旅館業法）に基づき、外国人のお客様から旅券番号およびパスポートの写し（顔写真ページなど）を収集し、宿泊者名簿の一部として保管します。 収集したパスポートの写しは、機密性の高い特定個人情報として、安全な方法で厳重に保管し、法令で定められた保管期間（原則3年間）が経過した後、速やかにかつ確実に削除・破棄いたします。
5. 外部サービスおよびOTAの利用と個人情報の委託・共有
当施設は、予約管理、在庫管理、お客様とのコミュニケーションを効率化するため、予約管理システム、外部OTAサイト（楽天トラベル、Airbnb、Booking.comなど）を利用しております。
- 外部OTAサイトを通じた予約の場合、 当該OTAサイトの定めるプライバシーポリシーに基づき、当施設のサービス提供に必要な範囲でお客様の個人情報（氏名、予約情報など）がOTAサイトから当施設へ提供されます。
- これらの外部サービスを利用する場合、個人情報の取扱いに関する契約を締結し、適切な安全管理が図られるよう委託先に対して監督を行います。
6. 個人情報の第三者提供
法令に基づく場合、およびお客様の同意がある場合を除き、個人情報を第三者に提供することはありません。ただし、旅館業法に基づき行政機関から提出を求められた場合は、これに応じることがあります。
7. 安全管理措置
当施設は、個人情報の漏洩、滅失、または毀損の防止、その他個人情報の安全管理のために、組織的、物理的、技術的な安全管理措置を講じ、個人情報への不正アクセス、紛失、破壊、改ざん、漏洩などの防止に努めます。
8. 個人情報の開示、訂正、利用停止等
お客様ご本人から個人情報の開示、訂正、利用停止等のご請求があった場合には、法令に基づき適切かつ速やかに対応いたします。

Asia TokyoWorld Co., Ltd., the operator of Rental Villa 12498 in Doushi (hereinafter referred to as “the Facility”), recognizes the protection of our guests’ privacy and personal information (hereinafter referred to as “Personal Information”) as a vital responsibility and adheres to the following Privacy Policy.
1. Definition of Personal Information
Personal Information in this Policy refers to information about a living individual that can identify the specific individual through their name, date of birth, address, telephone number, email address, or other descriptions included in the information. It also includes information that can be easily cross-referenced with other information to identify a specific individual.
2. Compliance with Laws and Regulations
In handling Personal Information, the Facility complies with the “Act on the Protection of Personal Information,” other related laws and regulations, and national guidelines. Specifically, information concerning foreign guests is handled appropriately based on the “Hotel and Ryokan Business Act” (旅館業法).
3. Acquisition and Purpose of Use of Personal Information
The Facility acquires Personal Information by lawful and fair means and utilizes it only within the scope of the following purposes:
- For reservations and providing accommodation services
reservation confirmation, communication regarding facility use, check-in/check-out procedures, etc. - For creating the guest register as required by the Hotel and Ryokan Business Act
names, addresses, occupations, nationalities, passport numbers, and passport copies - For contact in case of emergency
- For improving the Facility’s services, marketing activities, and executing associated operations.
4. Handling of Specific Personal Information (Passport Information)
Based on Japanese law (Hotel and Ryokan Business Act), the Facility collects the passport number and a copy of the passport (such as the photo page) from foreign guests and stores them as part of the guest register. The collected passport copies are treated as highly confidential Personal Information, stored securely, and are promptly and reliably deleted or destroyed after the legally stipulated retention period (generally three years) has passed.
5. Use of External Services and OTAs, and Outsourcing/Sharing of Personal Information
The Facility utilizes reservation management systems and external Online Travel Agency (OTA) sites (such as Rakuten Travel, Airbnb, and Booking.com) to streamline reservation management, inventory control, and communication with guests.
- For reservations made through external OTA sites, the guest’s Personal Information (name, reservation details, etc.) required for the provision of services by the Facility may be provided by the OTA site to the Facility, in accordance with the OTA site’s privacy policy.
- When utilizing these external services, the Facility concludes agreements regarding the handling of Personal Information and supervises the entrusted parties to ensure appropriate security management.
6. Provision of Personal Information to Third Parties
The Facility will not provide Personal Information to a third party except in cases based on law or with the guest’s consent. However, in cases where submission is requested by administrative agencies based on the Hotel and Ryokan Business Act, the Facility will comply.
7. Safety Management Measures
The Facility implements organizational, physical, and technical safety management measures to prevent the leakage, loss, or damage of Personal Information, and strives to prevent unauthorized access, loss, destruction, alteration, or leakage of Personal Information.
8. Disclosure, Correction, and Cessation of Use of Personal Information
If a guest requests the disclosure, correction, or cessation of use of their own Personal Information, the Facility will respond appropriately and promptly in accordance with the law.
