TERMS & CONDITIONS FOR ACCOMMODATION & AGREEMENT
Accommodation Agreement
Article 1 – Application of These Terms
- The accommodation contract and related agreements entered into between the Facility and the Guest shall be governed by the provisions of these Terms.
- Matters not provided not stipulated herein shall be handled in accordance with applicable laws and generally accepted industry practices.
- Notwithstanding the preceding paragraph, the Facility may agree to special, so long as such provisions do not violate the purposet of these Terms, laws, or established.
Article 2 – Application for Accommodation
- Required Information
A person who wishes to apply for accommodation at the Facility shall provide the following information:
(1) Name, address, date of birth, telephone number, and accommodation date(s)
(2) For foreign nationals: nationality, passport number, previous place of stay, and next destination
(3) Departure date, number of guests, check-out time, and age classification -of accompanying guests (adult/child/infant)
(4) Any other information deemed necessary by the Facility (for example household or family composition)
- Requests for Extension
If a Guest requests an extension of stay beyond the initially reserved period, such a request shall be deemed a new application for accommodation, such request shall be treated as a new application for accommodation at the time it is made. - Accommodation of Minors
Accommodation for minors (under 18 years old, including high school students) without an accompanying adult is not permitted.
Children in elementary or junior high school may stay only if accompanied by a responsible person aged 20 or older.
If the accompanying guardian is not a family member, a written consent form from the legal guardian is required.
Article 3 – Conclusion of the Accommodation Contract
- The accommodation contract shall be deemed concluded at the time the Facility accepts the Guest’s application; provided, however, this shall not apply if the Facility can demonstrate that the reservation was not accepted.
- Upon conclusion of the contract, the Facility may request Guest to pay a deposit (reservation fee), in an amount not exceeding the total accommodation charges for the reserved period,within a specified deadline designated by the Facility.
- The deposit mentioned above shall be applied to cancellation charges as stipulated in Article 5, and any remaining balance shall be refunded.
Article 4 – Right to Refuse Accommodation
The Facility may refuse to enter into an accommodation contract in any of the following cases:
(1) When there is no vacancy.
(2) When the application for accommodation does not comply with these Terms.
(3) When the Guest is likely to act in violation of laws, public order, or good morals.
(4) When the Guest falls under any of the following categories:
- Organized crime groups as defined by Article 2, Paragraph 2 of the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991), members or associates thereof, or any anti-social forces.
- Corporations or organizations under the control of such groups.
- Corporations in which any executive member is affiliated with an organized crime group.
(5) When the Guest is clearly infected with a contagious disease.
(6) When the Guest makes violent or unreasonable demands upon the Facility or its staff.
(7) When the Guest fails or delays payment of accommodation or related charges.
(8) When false information was provided at the time of booking.
(9) When accommodation cannot be provided due to natural disasters, facility failures, or other unavoidable causes.
(10) When the Guest engages in acts that may disturb other guests, staff, or nearby residents.
(11) When the Guest has previously violated the Facility’s terms of use.
Article 5 – Cancellation by the Guest
- The Guest may cancel the accommodation contract by notifying the Facility.
- If the cancellation is due to reasons attributable to the Guest, the Facility shall charge the following cancellation fees:
- If the Guest does not arrive by 5:00 p.m. on the check-in day (or within two hours of the stated arrival time), the Facility may deem the reservation as cancelled.
- However, if the Guest proves that failure to arrive was due to transportation delays or other reasons not attributable to the Guest, no cancellation fee shall be imposed
[Cancellation Fees]
- From reservation confirmation until 7 days before check-in: 3.5% of the total accommodation fee
- From 7 to 3 days before check-in: 50% of the total accommodation fee
- From 3 days before to the day of check-in / no-show: 100% of the total accommodation fee
- If the number of nights is reduced, the cancellation fee applies for the shortened nights regardless of the number of nights reduced.
Article 6 – Cancellation by the Facility
- The Facility may cancel the accommodation contract in any of the following cases:
(1) When the Guest is likely to violate or has violated laws, public order, or good morals.
(2) When the Guest is recognized as an anti-social force, such as a member of an organized crime group or related organization.
(3) When the Guest’s behavior disturbs other guests, staff, or nearby residents.
(4) When the Guest is clearly infected with a contagious disease.
(5) When violent or unreasonable demands are made.
(6) When accommodation becomes impossible due to natural disasters or other unavoidable reasons.
(7) When the Guest fails to pay the deposit by the specified deadline.
(8) When false information is provided at booking.
(9) When the Guest violates or has previously violated the Facility’s terms of use. - If the Facility cancels the contract under this Article, no fees shall be charged for services not yet rendered.
Article 7 – Hours of Room Use
- Guest rooms are available from 2:00 p.m. until 10:00 a.m. the following day.
Guests staying for consecutive nights may use the room continuously, except on arrival and departure days.
- If personal belongings are left behind after check-out, the Facility may take appropriate measures as permitted by law.
When ownership can be identified, the Facility may, at its discretion (but not obligation), contact the owner for instructions.
- If a Guest remains on the premises for an extended period equivalent to overnight use after check-out, an additional fee may be charged.
Article 8 – Payment of Fees
- Payment shall be made by the method specified by the Facility, upon request for payment.
- Even if the Guest chooses not to stay after a room has been made available, the full accommodation fee shall still be charged.
Article 9 – Compliance with Rules of Use
Guests shall comply with the Facility’s rules of use.
Article 10 – Liability of the Facility
- The Facility’s responsibility begins when the Guest enters the premises and ends at the time of check-out.
- The Facility assumes no responsibility for accidents resulting from failure to comply with the rules of use.
- If accommodation becomes impossible due to reasons attributable to the Facility, the contract shall be terminated without any cancellation fee.
Article 11 – Parking Liability
The Facility shall not be responsible for theft, loss, or damage to vehicles or belongings within the parking area.
[Winter Road Freezing and Vehicle Troubles]
1. During the winter season (late November to late March), accidents such as slips or immobilization (stuck vehicles) may occur due to icy or snowy road conditions.
The facility shall not be held responsible for any accidents, damages, or losses arising from such conditions.
2. In the event that a towing or other roadside assistance service is required due to troubles such as being stuck or slipping in the parking area,all associated costs shall be borne by the guest.
3. If a guest becomes unable to depart from the parking area due to freezing or similar conditions and must extend their stay,the standard accommodation fee will apply.
Please note that an extension may not be possible depending on the reservation status for the following day.
The facility shall not be liable for any expenses incurred in connection with relocation or departure under such circumstances.
Article 12 – Liability of the Guest
If the Facility suffers damage due to the Guest’s intentional act or negligence, the Guest shall compensate for such damages.
Article 13 – Valuables and Personal Belongings
Guests are responsible for managing their own valuables and belongings.
The Facility shall not be liable for loss, theft, or damage.
Article 14 – Adherence to the Number of Guests
- This facility operates in accordance with Article 6 of the Hotel Business Act, which mandates accurate registration in the guest register and accurate tracking of occupancy numbers. Staying beyond the reserved number of guests (unauthorized occupancy) constitutes a serious violation of this law.
- Should false declarations regarding the number of guests be discovered, in addition to the difference in accommodation fees, a penalty of ¥10,000 (tax included) per person staying improperly will be charged.
Article 15 – Unauthorized Use of Off-limits Areas
If unauthorized use of off-limits areas, such as the “Hanare” (Annex) without a prior reservation, is discovered, a flat penalty of 10,000 JPY (tax included) will be charged regardless of the reason.

If any soiling or damage to equipment/facilities is found, actual costs for repair or replacement will be charged separately.

The facility assumes no responsibility for any accidents or fires resulting from the use of materials other than the optional firewood provided by this facility.

In the event that damage is caused to the facility due to the use of inappropriate materials, we will claim compensation for damages.
Article 16 – Use of Internet and Computer Communication
- Guests use computer and internet services at their own risk.
The Facility shall not be liable for any damages arising from service interruptions or system failures.
- If a Guest engages in inappropriate online behavior causing or likely to cause harm to the Facility or third parties, compensation equivalent to the damages may be charged.
Article 17 – Surveillance Cameras
For safety and security, the Facility operates surveillance cameras in public areas (excluding guest rooms).
Recorded footage will only be reviewed upon lawful request from authorities and will otherwise be deleted after a certain period.
Article 18 – Revisions to These Terms
The Facility may revise these Terms or add provisions without prior notice when deemed necessary for operations or due to changes in relevant laws or regulations.

Facility Rules (Rules of Use)
Rental Villa 12498 in Doushi (hereinafter referred to as “this facility”) has established the following usage rules to ensure guests enjoy a safe and comfortable stay. We kindly ask for your cooperation.
Please be advised that failure to comply with these rules may result in refusal of use of this facility.
1. Scope of Application
(1) These rules apply to all guests using any part of our facilities (including lodging facilities, grounds, etc., collectively referred to as “the Facilities”). However, matters not covered by these rules shall be governed by the Lodging Terms and Conditions.
2. Fire Prevention and Safety
(1) Smoking, including electronic smoking devices, is prohibited throughout all areas of the Facility. Please use the designated outdoor smoking areas if you wish to smoke.
(2) Open fires, barbecues, and fireworks are prohibited outside of designated areas as they may cause fires.
(3) Only handheld fireworks are permitted. Fireworks that are launched into the air are prohibited as they may cause fires.
3. Handling of Items Left in Custody and Lost Items
(1) Items left in custody or stored will be held for one week from the date of receipt. After this period, they will be disposed of by the facility.
(2) Lost and found items will be handled in accordance with applicable laws (the Lost Property Act).
(3) Food and beverages left behind within the facility will be immediately discarded for hygiene reasons.
(4) Lost items will only be shipped upon inquiry, requiring on-site verification and payment by the recipient. Shipping may take up to one month.
4. Regarding Our Facilities
(1) Internet Usage
・Wireless LAN is provided as part of our services and does not guarantee 100% internet connectivity.
・Please be aware that connection speeds may slow down or connections may fail due to your device settings or network congestion.
・We cannot provide any support regarding the various settings on your personal computer or communication device.
・Please protect and manage the security of your connected communication devices at your own responsibility.
(2) Our laundry machines (washers and dryers) are available for your use. Please remove your laundry immediately after use and ensure nothing is left behind. We do not accept any feedback regarding the performance of the laundry facilities.
(3) Guests may use the facility’s equipment from 2:00 PM on the check-in date until 10:00 AM on the check-out date. Use of facilities before check-in or after check-out will incur additional charges.
5. Conduct
(1) Guests using this facility must strictly follow all pre-established instructions. Failure to comply may result in removal from the premises.
(2) Only guests with a valid reservation for this facility may enter or exit the premises.
(3) Smoking is prohibited throughout the entire facility. Smoking is permitted only in the designated outdoor smoking areas.
(4) Please dispose of any garbage generated within the facility according to our sorting guidelines.
(5) Guests who consume alcohol within the facility are prohibited from operating motor vehicles, bicycles, or similar vehicles.
(6) Bringing dangerous items or items prohibited by law into the facility is strictly forbidden.
(7) The facility curfew is 9:00 PM, with lights out at 10:00 PM. Please act with consideration to avoid disturbing nearby residents.
(8) This facility is not a hotel or inn. Please return all used equipment and items to their original locations.
(9) When using equipment or facilities (wood stove, bonfire, sauna), please read the provided manuals thoroughly before use.
(10) If significant litter or large-scale movement of equipment occurs, making restoration difficult, additional fees may be charged at the discretion of the cleaning service or the facility. If items within the facility are damaged due to negligence or accident, or if damage occurs that makes restoration difficult, repair costs will be charged at actual expense after verification during cleaning.
(11) If bedding, furniture, or furnishings are soiled due to smoking indoors, vomiting or urinating outside toilets, or similar incidents—regardless of negligence or intent—please report it immediately.
If restoration to original condition is impossible, additional cleaning fees will be charged as follows. Damage to guest room equipment or furnishings will be charged at actual cost.
・Cleaning fee for smoking, damage, or soiling in the room: ¥20,000 (tax included) per room
・Room downtime fee for smoking, damage, or soiling in the room: Number of days the room is unavailable × ¥20,000 (tax included)
(Note) The number of days the room is unavailable is determined by our facility based on the actual number of days we refrain from selling the room.
※However, the maximum charge is equivalent to 10 days.
(12) Occupancy exceeding the reserved number of guests is strictly prohibited.
(13) If occupancy exceeding the reserved number is discovered without prior notification, charges will be applied for the excess occupants.
(14) Use of rooms for purposes other than lodging is strictly prohibited.
(15) Visitor meetings in guest rooms are strictly prohibited.
(16) Fire Prevention and Firewood Use – Please read the following carefully:
Firewood brought into and used within the facility must be commercially sold firewood (material specifically sold as firewood). Burning inappropriate materials such as construction waste or driftwood is strictly prohibited, as it can cause abnormal combustion and lead to fire.
The facility shall bear no responsibility whatsoever for accidents or fires resulting from the use of materials other than the optional firewood provided by the facility.
In the event that damage occurs to the facility due to the use of inappropriate materials, we will seek compensation for damages.
6. Matters Concerning Responsibility
(1) The facility shall bear no responsibility whatsoever for any disputes arising between facility users. Please resolve such matters directly between the parties involved.
7. Other Prohibitions
(1) Gambling or any behavior that disrupts public order within the facilities.
(2) Loud shouting, singing, or noisy behavior that disturbs facility staff or nearby residents.
(3) Appearing with an excessively unclean body or clothing that may cause disturbance to facility staff or nearby residents.
(4) Using guest rooms or the premises (including parking lots) for purposes other than lodging or dining without the facility’s permission.
(5) Bringing items into the facilities that may disturb nearby residents (e.g., flammable or combustible explosives/flammable liquids, hazardous products, foul-smelling items, or other items prohibited by law).
(6) Damaging or contaminating the facilities’ equipment or items, moving them to other locations without permission, or otherwise altering their current state. Also, removing them from the premises.
(7) Distributing advertisements, promotional materials, posting notices, selling goods, soliciting, conducting business activities, distributing flyers, or conducting signature campaigns within the facilities without permission.
(8) Publishing photographs taken within the facilities for commercial purposes without the facilities’ permission.
(9) Loud shouting, singing, or noisy behavior that disturbs nearby residents or others in the area where the facilities are located.
(10) Occupying guest rooms with more persons than the reserved capacity.
(11) Using the facilities for purposes other than lodging.
(12) Meeting visitors in guest rooms.
(13) Any other acts deemed inappropriate by the facility.
8. Information Matters
(1) The use of this facility’s trade name, “Rental Villa 12498 in Doushi” by any third party other than this facility is prohibited.
(2) This facility is a guesthouse defined as a simple lodging establishment and operates under a lodging business license.
(3) Personal information registered during your stay at this facility is protected under the Personal Information Protection Act. We will never disclose, transfer, or sell this information to third parties. However, exceptions apply in the following cases:
1. When the customer has given prior consent to the disclosure.
2. When disclosure is required by law or by a competent government authority.
(4) The email address registered when using this facility may be used by this facility at any time to send advertisements or notifications to the customer.
(5) Unauthorized use or reproduction of photographs, text, or designs displayed on this website is prohibited.
(6) The contents of these Terms of Use may be changed without prior notice, and there is no obligation to provide advance notification.
Supplementary Provisions: These Terms of Use shall take effect on April 1, 2022.
